Privacy Policy

This policy explains what personal data JJB Calibrated Ltd collects through this website, why we collect it, and what your rights are over it. We’ve tried to write it in plain English rather than dense legal boilerplate, because you should actually be able to read it.

The short version
We only collect what you choose to give us — through the enquiry form, the booking system, or the chat widget. We use it to respond to you, to arrange the consultation you’ve asked for, or to deliver the engagement you’ve instructed us on. We don’t sell your data, we don’t run advertising, and we don’t hand it to anyone for their own marketing purposes.
What we collect, and why
Enquiry form. If you submit the contact form, we collect your name, email address, company (if you give one), the enquiry type you’ve selected, and your message. This is sent to us by email so we can respond to what you’ve asked. We won’t proceed without you first ticking the consent box on the form.
Booking a consultation. If you book a slot in James’s diary through the booking system, we collect your name, email address, the date and time you’ve chosen, and any notes you add about what you’d like to discuss. Where our calendar integration is active, this creates a calendar event and, where applicable, a video call link, so the meeting can go ahead. If you give us a phone number as part of the booking, we use it only to reach you about that booking.
JJB AI Assistant (chat widget). If you use the chat widget, the messages you type are sent to our automated assistant so it can reply. This chat is clearly labelled as automated, not a person, and it is not designed to collect sensitive personal information — please don’t share medical details, financial details, or anything you wouldn’t want processed by an automated system. If, during a conversation, you give us your name or contact details so we can follow up, we’ll use them for that purpose only.
Chat transcripts. Conversations with the assistant are recorded and emailed to us, so that we keep an accurate account of what an automated system has said to members of the public. We do this because the assistant is deliberately restricted — it must not give dietary, medical or pricing advice — and we need to be able to demonstrate that those restrictions held. Very short exchanges that go nowhere are not recorded. A transcript records the conversation, not you: nothing identifies you unless you type it yourself. If you ask the assistant to pass a message to James, the conversation is emailed to him along with the name and address you give, so that he can reply.
Analytics. If you accept the cookie banner, Google Analytics collects information about your visit — which pages you looked at, roughly how you found the site, and general device and location information. It does not collect your name or contact details, and we don’t attempt to identify individual visitors from it. It only runs if you accept, and never before. Full detail, including how to change your mind, is in our Cookie Notice.
Beyond that, we don’t collect anything from you simply by your visiting the site.
Lawful basis
We process enquiry and booking details on the basis of your consent, which you give by submitting the relevant form, and because doing so is a necessary step before entering into a contract with you (arranging the consultation you’ve requested). Where we go on to provide consultancy services to you, we process the relevant data as necessary to perform that contract. Analytics runs only on the basis of the consent you give in the cookie banner, and nowhere else on this site relies on that basis. You can withdraw consent for anything not yet contractually necessary at any time — for analytics, using the “Cookie preferences” link in the footer; for anything else, by emailing us.
Who processes it, and where it goes
Enquiry and booking messages are delivered by email through our transactional email provider, and calendar bookings are created through Google Calendar, both acting as processors on our behalf under their own data protection terms. The chat widget runs on Cloudflare’s infrastructure. Where you’ve accepted the cookie banner, Google Analytics processes visit data as described above, under Google’s own data protection terms. None of these providers are permitted to use your data for their own purposes. We don’t use any of these providers to build advertising profiles, and we don’t sell data to data brokers.
International transfers
Some of the providers above, including Google, may process data outside the UK. Where that happens, we rely on their standard contractual safeguards (such as the UK International Data Transfer Addendum or equivalent) to keep your data protected to UK standards.
How long we keep it
Enquiry and booking correspondence that doesn’t lead to an engagement is kept for up to 24 months from your last contact with us, then deleted. Where your enquiry becomes a client engagement, the relevant records are kept for as long as our engagement terms and our legal and accounting obligations require.
Chat transcripts are kept for 12 months, then deleted. They are held only as a record of what the automated assistant said, and 12 months is as long as we can justify needing them for that purpose. They are not kept on the website itself: they are held briefly, emailed to us once a week, and cleared from the site as soon as that email has been sent. If a conversation leads to an engagement, any records that form part of that engagement are governed by the paragraph above rather than this one.
Analytics data is kept for 14 months, the longest period Google Analytics allows on our type of account, after which Google automatically deletes it. We don’t separately export or store it ourselves.
Your rights
Under UK GDPR you have the right to ask what personal data we hold about you, to have inaccurate data corrected, to have it erased, to restrict or object to how it’s processed, and to receive it in a portable format. Email us and we’ll respond within one month.
If you’re unhappy with how we’ve handled your data, you have the right to complain to the Information Commissioner’s Office at ico.org.uk, though we’d appreciate the chance to put things right directly first.
Children
This site and our services are aimed at business owners and professionals. We don’t knowingly collect data from children.
Security
This site is served over HTTPS, so anything you send us in transit is encrypted. Access to enquiry, booking and chat data is limited to JJB Calibrated Ltd and the processors named above.
Changes to this policy
If how we handle your data changes — for example, if we add a new tool or provider — we’ll update this page and change the date at the top.
